The Executive Assistant will work on behalf of the members of the ARPFNB, under the direction of the Executive Director. This is a part-time contract position, ongoing at 20 hours of work per week.
The Executive Assistant will perform all administrative duties as required by the Executive Director.
Maintain records of correspondence, minutes of meetings, prepare agendas for meetings.
Arrange logistics for meetings of the Executive Committee, Board of Examiners (BoE), and of the membership in general.
Receive and forward membership applications to BoE, maintain correspondence with applicants, ensure timely evaluation process for applicants.
Schedule examinations for applicants, invigilate or arrange for invigilator for examinations, ensure exams are marked by BoE, and applications are forwarded to Executive Committee for review.
Maintain financial records on Quickbooks, invoicing members for dues, payment of invoices for all ARPFNB expenses. Collect funds.
With Executive Director, draft annual budget. Report on a monthly basis to Secretary/Treasurer and Executive Committee on revenue and expenses, and monitoring adherence to annual budget.
Reconcile bank accounts. Monitor investment accounts to ensure timely reinvestment.
Maintain membership register, in ledgers, as computerized file, and on website.
Respond to requests for changes in membership status from members.
Maintain record of continuing education (CE) credits submitted by members.
Respond to all inquiries; stream significant questions to Executive Director for decision or input. Act as first point of contact for the Association; respond knowledgeably to questions about the ARPFNB policies and procedures.
Assist in the planning of continuing education sessions, social events sponsored by ARPFNB.
Assist in the production of quarterly newsletter and distribute to all members. Solicit material for newsletter from diverse sources.
Maintain current website content, add CFE courses regularly, update news items.
Office Administration Diploma or related experience, or transferable experience.
Computer literacy with MS Office Suite, Quickbooks software, and website management.
Excellent verbal and written communication skills in both official languages,
Ability to work independently and take initiative.
Experience working with financial records, general office administration.
Tact, diplomacy, confidentiality, integrity and the ability to work with a broad range of people.
Bilingualism (English/French) mandatory.
